Scope of Work:


Photoshoot Options and Image Delivery

  1. Photoshoot Types and Locations
    The Photographer offers a variety of sessions tailored to your needs, including:

  • Individual portraits

  • Couple sessions

  • Family shoots

  • Optional pet photography add-on

Clients may choose between two location styles:

  • Outdoor ("Out and About") – at a mutually agreed public location of your choice.

  • At-Home – conducted within the comfort of your own home.

All options are discussed and confirmed during the booking process to ensure the right setting and experience for your shoot.

  1. Number of Images and Editing
    For every hour of shooting, clients can expect to receive approximately 30–40 unique, high-resolution images.
    All images will be professionally edited to the Photographer’s standard. Please note: Unedited/raw images will not be provided under any circumstances.

  2. Image Delivery
    Final edited images will be delivered via WeTransfer to the email address provided by the Client. All files will be sent from the official email address: Photographer@jacobjepps.co.uk. Clients are encouraged to download and back up their files promptly upon receipt.

  3. Print Services
    If you wish to have your images professionally printed, you may arrange this directly with the Photographer. Print pricing and options will be discussed upon request and are subject to availability.

Payment Terms:

  1. Deposit Requirement
    A deposit is required to secure the booking and confirm the photoshoot. The amount of the deposit will be 20% of the total agreed price, which may vary depending on the type of photography and the length of the session. The deposit is deducted from the final price and is non-transferable.

  2. Booking Confirmation
    No photoshoot will proceed without the deposit being paid in full. Until the deposit is received, the date and time of the session will remain unconfirmed and may be offered to other clients.

  3. Cancellation and Refund Policy
    The deposit is refundable only if cancellation is made at least 7 calendar days (1 week) before the scheduled shoot. Cancellations made less than 7 days before the shoot will result in the forfeiture of the deposit due to the time and preparation already committed by the Photographer.

  4. Travel Fees
    An additional travel fee will apply if the photoshoot location is more than 20 miles from Chelmsford. Travel costs will be discussed and agreed upon prior to booking confirmation.

  5. Scope of Payment
    Your payment covers:

    • Pre-shoot preparation time

    • The photoshoot itself

    • Post-processing and editing

    • Delivery of the final images

    • Up to 2 rounds of revisions based on your feedback

Additional revisions beyond the initial two will be charged at £20 per revision to fairly compensate for the Photographer’s additional editing time and effort.

  1. Accepted Payment Methods
    Payments can be made via bank transfer or cash. Full payment (less deposit) is due on or before the date of the photoshoot unless otherwise agreed in writing.

Copyright and Ownership:

All images captured and delivered remain the intellectual property of Jacob Jepps and are protected under UK copyright law. By default, the copyright of all images remains with the Photographer.

As the Client, you are granted Personal Usage Rights only. This means you may use the images for personal display, social media sharing (with appropriate credit), and portfolio use where applicable, but you do not have the right to reproduce, sell, license, or commercially distribute the images without prior written permission from the Photographer.

Any unauthorised commercial use or reproduction of the images will be considered a breach of copyright and may result in legal action.

Usage Rights

Upon receipt of the final images, the Client is granted personal use rights only. This includes sharing the images on personal social media accounts, provided the following conditions are met:

  • The Photographer, Jacob Jepps, must be tagged or credited in all social media posts where the images are shared.
    Social media handle: @JacobJepps (on all platforms).

  • Images must not be used for any paid or promotional content, sponsored posts, or advertising purposes without prior written consent from the Photographer.

  • If images are used for any unauthorised commercial purposes, the Photographer reserves the right to request the immediate removal of such content and may pursue further action.

Usage Rights for Portfolio Shoots

In addition to the above personal use rights, Clients booking portfolio shoots are also granted permission to use the images within their personal or professional portfolios. This includes:

  • Use on personal or professional websites, social media, and portfolio-hosting platforms.

  • When sharing the images on third-party platforms or with external collaborators, photographic credit must be clearly given to Jacob Jepps.

Failure to provide appropriate credit where required may result in the revocation of usage rights.

Cancellation Policy:

To cancel a booking, clients must send written notice via email to photographer@jacobjepps.co.uk or text to 07948 027543. Please include your full name, date of the booking, and the reason for cancellation if it falls within the one-week notice period.

Cancellations must be made with a minimum of one week’s notice from the scheduled booking date by either party.

  • If the Photographer (Jacob Jepps) cancels with at least one week's notice, a full refund of any deposit paid will be issued, unless both parties agree to reschedule.

  • If the Client cancels with at least one week's notice, the deposit will be refunded in full.

  • If the Client cancels within one week of the booking date, the deposit will be non-refundable, and a cancellation fee of £10 may be charged.

In cases of ill health, family emergencies, or other exceptional circumstances, flexibility may be granted at the Photographer’s discretion. This applies to both client and photographer cancellations. Refunds or alternative arrangements in such cases will be discussed individually.

Liability and Limitation of Liability:


Limitation of Liability
While every reasonable effort will be made to ensure the highest quality and reliability of service, the Photographer shall not be held liable for any direct, indirect, incidental, or consequential loss or damage arising from any failure to perform their obligations where such failure is due to unforeseen technical issues, including but not limited to equipment malfunction, camera failure, or memory card damage or corruption.

Preventative Measures
To minimize the risk of data loss or image corruption, the Photographer uses professional-grade equipment and follows best practices, including dual memory card recording where possible (capturing images simultaneously to two cards). All memory cards are handled and stored with care throughout the shoot and post-production process to prevent physical or data-related damage.

Image Backup and Storage
Final edited images will be backed up and stored securely by the Photographer for a minimum period of 30 days from the date of delivery. After this time, the Photographer is under no obligation to retain copies of the images unless otherwise agreed in writing. Clients are strongly encouraged to download and securely back up their images upon receipt.

Maximum Liability
In the unlikely event of a total photographic failure or loss of images due to circumstances within the Photographer’s control, the Photographer’s liability shall be limited to the return of all payments received for the assignment. No further compensation shall be payable. The Photographer shall not be held responsible for missed images or scenes due to changing conditions, restrictions, or other unforeseen events during the shoot.

Confidentiality:

  1. Confidentiality and Privacy
    The Photographer agrees to treat all client information and imagery as strictly confidential. All images, personal details, and project-related materials obtained during the course of the assignment shall not be shared, published, or disclosed to any third party without the prior written consent of the Client, unless required by law.

  2. Client Consent and Usage
    The Client retains the right to privacy over all photographs captured during the assignment. The Photographer shall seek express permission before using any images for portfolio, promotional, or commercial purposes. A separate model release form will be required for such usage, and clients reserve the right to decline consent.

  3. Minors (Under 18s)
    In any instance where the subject(s) of the photographs include minors (persons under the age of 18), the Photographer requires written consent from a parent or legal guardian prior to the shoot. All images involving minors will be handled with heightened confidentiality and sensitivity. No images of minors will be published or used for any purpose outside the agreed assignment without explicit, written permission from a parent or legal guardian.

  4. Data Protection
    All digital files will be stored securely, and access will be restricted to the Photographer and any authorised personnel directly involved in the editing and delivery of the final product. The Photographer will take reasonable measures to safeguard the data against unauthorised access, alteration, or disclosure.

Force Majeure:


The Photographer shall not be liable for any failure or delay in performing their obligations under this agreement where such failure or delay is the result of circumstances beyond their reasonable control. These circumstances include, but are not limited to: acts of God, natural disasters, severe weather, war, terrorism, civil unrest, strikes, governmental actions or restrictions, pandemics, illness, transportation disruptions, or failure of equipment through no fault of the Photographer.

Public Property and Venue Restrictions
The Client acknowledges that access to public locations or venues intended for photography may be subject to restrictions, permits, or closures, including but not limited to private hire, local authority regulations, or events beyond the Photographer’s control. In such cases, if access is denied or revoked on the scheduled date, the Photographer shall not be held responsible for delays, rescheduling, or any impact on the shoot. It is the Client’s responsibility to verify and secure appropriate permissions where applicable unless otherwise agreed in writing.

Rescheduling and Liability
In the event of a Force Majeure or venue access issue as described above, both parties agree to make reasonable efforts to reschedule the services to a mutually convenient date and location. If rescheduling is not possible, any payments made (excluding non-refundable deposits and actual costs incurred) may be refunded at the Photographer’s discretion. The Photographer is not liable for any indirect or consequential loss suffered by the Client due to such disruptions.

Release Form:

Image Release Consent Notice
If you consent to the use of your images for promotional purposes, please complete the separate Image Release Form provided. With your permission, your images may be featured in a variety of promotional materials, including but not limited to:

  • Website content

  • Social media pages

  • Physical promotional items (e.g., banners, leaflets, signs)
